CallerReady VMDROP Setup Process
CallerReady VMDROP Setup Process
Create default assets
For each VM Drop message, you will need a default asset â this will play if the rep has not recorded a personalized message yet. Wording should be generic (âhello this is CompanyNameâ rather than âHello this is Repname from CompanyNameâ for example)
Go to Old UI -> Global Options -> Asset Manager
There either upload previously recorded assets OR press the Record button and record new assets for the default VMDROP messages
Create VMDROP Message Configuration
Go to Old UI -> Global Options -> Voicemail Manager
Click the + to add a new config.
In the resulting dialog, complete the âDisplay Textâ and other fields. NOTE THE âDISPLAY TEXTâ IS CRITICAL AS THIS WILL BE THE NAME YOU SPECIFY ON DISPOSITION BUTTONS TO DROP THE MESSAGE. Do not include special characters â just alphanumeric and spaces.
The âScriptâ is what will display for the Reps when recording their personalized version of the message.
Choose the âDefault Assetâ from the list of assets (as created/recorded in step 1 above)
For a rep to record, check both âShow Repâ and âEnabledâ
Click submit
Create an IVR for depositing the VMDROPs
Go to Old UI -> Global Options -> IVR Manager
All VMDROPs will use the same IVR. Name one appropriately (âVoicemail Drop IVRâ for example)
Click â(+) Add Greetingâ
Click the âGreetingsâ box that appears
In the âGreetings Editorâ, enter this value:
</Say> <Play loop="1">@@[PROC|proc_Field_VMDropRecording|url]</Play> <Say>
Make sure the other IVR settings are appropriate and save
NOTE THIS STEP WILL ONLY NEED TO BE COMPLETED ONCE
Select the IVR for VMDROP functionality
Go to Old UI -> Global Options -> Misc Settings
Select your new IVR created in Step 3 above for âVoice Mail IVRâ and save
NOTE THIS STEP WILL ONLY NEED TO BE COMPLETED ONCE
Create the VMDROP Disposition Export â YOU WILL NEED A SEPARATE EXPORT FOR EACH VMDROP MESSAGE TO BE EXECUTED BY DISPOSITION BUTTON.
Go to New UI -> Admin Management -> Integration Manager
Click the âInternal Operationâ tab/set
Click â(+) New Integrationâ
Name the integration specific for the VMDROP Message to be dropped (for example, âVMDROP Sorry We Missed Youâ)
Once the Integration Field Manager appears, click â(+) New Integration Fieldâ
Create new field as follows:
Field Name = VMDropToPlay (must be exact)
Type = Template
Field Template = THE VOICEMAIL CONFIGURATION MESSAGE NAME YOU CREATED FROM STEP 2c ABOVE (must be exact)
Default Value = THE VOICEMAIL CONFIGURATION MESSAGE NAME YOU CREATED FROM STEP 2c ABOVE (must be exact)
Click âSaveâ
Create a second new field as follows;
Field Name = âSubmitTypeâ
Type = Template
Field Template = âDEPOâ
Default Value = âDEPOâ
Click âSaveâ
Close the Integration Field Manager dialog.
Setup VMDROP Disposition Button in CRM
Go to Old UI -> Global Options -> CRM Manager
Select âEditâ on the CRM to which you wish to add the VMDROP buttons.
Click the âButtonsâ tab
Click â(+) Add Buttonâ
Click the âNew Buttonâ that appears
Set the button parameters as normal, DO NOT select a âButton Submit Typeâ
Set the âButton Textâ appropriately that the Rep will know which VMDROP Message they are dropping
For âButton Exportâ, select the export you created in Step 5 above.
Have Reps record their personalized VMDROP Messages
NOTE if they do not, the âDefault Assetâ selected in Step 2e above will drop instead.
Rep logs in
Click âVoicemail Settingsâ from the left-hand menu
The Rep will see each of the configured VMDROP Message types configured, and whether they have recorded a personalized version.
The FIRST message (âVOICEMAIL GREETINGâ) is the standard VM message the Rep has been managing for what a lead hears before being allowed to leave a voicemail â itâs added at the top of the grid and is marked in yellow to separate it from the other VMDROP Messages.
The Rep should click the microphone icon next to the VMDROP Message to record.
A dialog opens, showing the script from Step 2d above â they should here record the message and read the script, replacing any noted information with their personal info (like Rep Name or Rep direct phone number).
